What we collect, why we collect it, and what we do with it. Written to be read rather than to be survived.
Who we are
Webio is a division of SurgeAI LLC ("Webio", "we", "us"). We build and operate Google review systems for local service businesses. Our registered address is 1309 Coffeen Avenue STE 1200, Sheridan, WY 82801 and you can reach us at hello@webio.cloud.
This policy covers the Webio website and the review services we run for our clients.
What we collect
When you request a free review gap audit
- Your business name and city
- Your industry
- Your email address
- Your phone number, if you choose to give it — it is optional
When you become a client
- Business contact and billing details
- Authorised access to your Google Business Profile
- Customer records passed to us from your booking, CRM, invoicing or point-of-sale system, so review requests can be sent
Automatically
Our web server records standard request logs — IP address, browser user agent, the page requested and the time. These are used for security and diagnostics.
We do not sell personal information, and we do not share it with advertisers or data brokers.
How we use it
- To produce and send the review gap audit you asked for
- To reply to you, and to follow up on an enquiry you started
- To deliver the service if you become a client — sending review requests, routing service-recovery issues and drafting responses
- To bill you, keep accounts and meet our legal obligations
- To keep the service secure and working
We do not use your information to train third-party AI models. Where AI is used to draft review responses, it operates on the review text and your business's own voice guidance for the purpose of producing that draft.
Email and SMS
If you give us your phone number when requesting an audit, we may contact you about that request. We do not add you to a marketing list you did not ask for, and we do not cold-call the number you leave.
For clients, our service sends review requests by email and text message to your customers. You are responsible for having a lawful basis and any consent required to contact those customers, and we will help you configure the system to respect that. Every message we send on your behalf identifies your business and includes a way to opt out. Recipients can reply STOP to any text to stop receiving messages, and HELP for assistance. Message and data rates may apply.
Confirm with counsel before launch. SMS to consumers is governed by the TCPA and by carrier requirements that change regularly. The consent language in your intake process needs to match how you actually collect numbers.
Your customers' data
When we run a review system for you, we process your customers' contact details on your instructions in order to send review requests. In that arrangement you are the controller of that data and we act as your processor. We use it only to deliver the service, we do not use it for our own marketing, and we return or delete it when our engagement ends.
How long we keep it
- Audit requests — up to 24 months from your last contact with us, then deleted
- Client records — for the length of the engagement and 7 years afterwards where tax and accounting law requires it
- Server logs — 30 days
Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to have it deleted, to object to or restrict how we use it, to receive a copy in a portable format, and to opt out of marketing at any time. Residents of California, and of jurisdictions covered by the GDPR or UK GDPR, have specific rights under those laws — including, in California, the right not to be discriminated against for exercising them.
To exercise any of these, email hello@webio.cloud. We will respond within the timeframe the applicable law requires. If you are in the EU or UK and are not satisfied with our response, you may complain to your local supervisory authority.
Security
Traffic to this site is encrypted in transit. Access to client systems and customer data is limited to the people who need it to do the work. No system is perfectly secure, and we will not pretend otherwise — if a breach affects your information we will notify you as required by law.
Children
Our services are for businesses. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
If we change this policy we will update the effective date at the top. Where the change is significant we will tell clients directly rather than relying on you to notice.
